If you are a new family, during the 6:30-7pm session, you will
have the opportunity to meet the Board and the coaches, ask
questions and get an idea what the swim & dive season is like
and what to expect. |

If you are a returning family, during the 6-8 p.m. session, you
can come and go as you please and the process should take about
15 minutes, including meet sign-ups. |

You will be able to sign-up for committees and meet duties that
night. Keep in mind that sign-ups will be first-come,
first-serve. |

You will be able to see our new swimsuit and misc. apparel. You
will need to place orders for the team tee-shirt, and new
silicone swim caps. |

Each swimmer/diver receives a free tee-shirt with their paid
registration.
Any registration received after April 30th, the
team member will not receive a t-shirt, since all t-shirt
orders must be to the vendor by May 1.

You will pay your registration fees and swimsuit and apparel
orders that evening with one payment and be finished for the
year. We can only accept payments by check.

We encourage all existing
members to try to encourage new families to join the team. Also,
don’t forget that to be a member of the team your household must
be in good standing with the Hartland Homeowners Association and
Hartland Swim Club. If you can’t make the meeting, registration
packets will be available in the clubhouse during regular
working hours. They must be returned to
Bill Tinker, 4821 Chaffey Lane, Lexington,
Kentucky, no later than April 30,
2009.
All suits will be ordered through Pannell’s Swim
Shop. You will be able to go by
Pannell’s at your convenience, try on the suit and send it out
for our emblem (if you choose).
This season you will sign your swimmer
in instead of out. We feel that this will improve the coach’s ability to assign swimmers to the
correct heat and event.
Again, we hope to see you
at the Hartland Clubhouse on April 14th, for
the beginning of a fun and successful 2009 swim and dive season.

Team Fees 2009
Note: a $9.00 per child conference meet fee is
included in the fees.
Your family must be a member of the Hartland Swim Club.
REFUNDS
Refunds will be given only for health
reasons with a written doctor’s excuse up to the date of the
first meet.
RETURN YOUR COMPLETED
APPLICATION BY APRIL 30, 2009.
Return completed, signed application
along with fees to Bill Tinker, 4821 Chaffey Lane, Lexington,
Kentucky. Drop completed applications off no later than
April 30th. Those turning in applications
after this date run the risk of not getting their desired work
assignment. Make checks payable to
Hartland Swim & Dive Team.
PLEASE NOTE: If the
registration packet is received after April 30th, the swimmer or
diver will not receive a team t-shirt. A late fee of
$20.00 will be assessed for all registration packets received
after April 30th.
PARENT COSTS AND
RESPONSIBILITIES
COSTS: 1. Team suits
(group order), caps, goggles, etc.
2. Year-end coaches’ gifts and fund-raisers are the
parents’ responsibilities.
3. Each swimmer/diver will be assigned a designated
item to bring for concessions sale prior to the meet.
4. Work requirement for
Conference participants to work CKSC meet.
RESPONSIBILITIES:
Parents are required to work three meets, participate on
one committee, and work CKSC meet. All swimmers
and drivers are strongly encouraged to
participate at conference. If you cannot work the conference
meet, please notify Bill Tinker, by the 1st
swim meet so that alternate work duties can be assigned to you
during the swim season. When you sign your application,
indicate on the entry form those dates you will not be
available. Also indicate those jobs you would prefer.
Choose a committee assignment. Every effort will be made to
match preferences with jobs. Assignments will be distributed at
the beginning of the season. They also will be posted at the
pool and on the website. If a conflict arises, you may switch
with another parent. It is YOUR responsibility to find a
replacement as well as to notify the Meet Director, Bill
Tinker, 245-8475 (H) 230-0308 (C) of this change PRIOR TO
THE MEET. Failure to find a replacement will result in a $50
fine per event you have been scheduled to work (i.e. $100 if a
no-show in both swim and dive meet.) All swimmers/divers in
your family will be ineligible to participate in subsequent
meets until the fine has been paid.
THIS WILL BE ENFORCED.
You may decline to work
swim and dive meets by paying a $150.00 fee per sport
(i.e. $300.00) if you have both a swimmer and diver). If you
choose this option, mark it on your entry form and include the
fee in your entry check. You must
still sign up for a committee assignment and work the CKSC meet
regardless if you are waiving a ‘work’ assignment.
ATTENDANCE:
Swimmers and divers must attend practices in order to
participate in meets. Exceptions are illness or prearranged
absences (camp, vacation, etc.)
COMMITTEES:
The work the committees do keep the swim and dive team running
smoothly. Parents are required to sign up and work on one
committee. On the working form page, there is also a list of
committees. Please indicate your first, second and third
choice. If you would like to head a
committee, please contact Bill Tinker or indicate so on the
working form.
